Programme Administrator
There are opportunities within the Programme Management Business Unit for organised, structured and proactive candidates to deliver Programme support services as Programme Administrators. Candidates with experience in supporting Projects and Programmes will be expected to assist the Programme Manager by creating accurate reports according to specific deadlines, managing cost and budget information, organising and storing key documentation, managing logistics related to the programme, updating the Programme plan with regular updates and managing all Programme support material, including templates and contact lists. This key role will report directly into the Programme Manager. Qualifications: Degree or diploma preferable, other appropriate qualifications Experience and Pre-requisites:
- At least 2 - 3 years of proven programme/project administration
- Degree or diploma preferable, or other appropriate qualifications
Knowledge:
- Project or Programme Management Methodology such as MSP, PRINCE2, PMBOK, PMI, or a client specific methodology
- Technical SDLC
- Time capture and reconciliation
- Implementation and creation of governance and control processes and tools
- Programme Tracking – including plan and budget
- Risk and Issue Management
Skills & experience:
- Strong in verbal communication (telephonic and face-to-face)
- Strong in written communication (reports, emails, minutes etc)
- Organise and structure standard support functions effectively:
- Adaptable to different personality types and working styles. Ability to extract information from people who have very little time
- Must be strong in gathering information within tight timeframes
- Needs to be methodical and process orientated
- Needs to be administratively strong, and must thrive in working in a structured and well defined environment
- Work well as a vital cog in a team environment:
- Needs to work well with people
- Needs to take ownership of activities and responsibilities allocated to them
- Needs to be independent and innovative in improving processes and procedures around them
- Open and honest
- Use standard MS Office applications effectively to support the programme and associated projects:
- Good understanding of the MS Office suite of products
- Advanced MS Word skills
- Advanced MS Excel skills
- Intermediate MS PowerPoint skills
- Intermediate MS Outlook skills
- Must be comfortable using the Internet
Responsibilities:
- Handle all programme administration, i.e. filing structure, filing, meeting set-up, minutes, copying, logistical arrangements, etc.
- Deliverable version and sign-off management
- Innovation of management processes and tools
- Assist in budget management
- Assist in plan management
- Timesheet reconciliation
- Track project team (BSG and client resources) utilisation and impact on the programme plan and budget
- Assist in benefits management
- Collation of programme information into various reports
- Update balanced scorecards and other high-level status tracking tools
- Maintain all programme logs – risk, issue, decision, change and quality
- Maintain programme Stakeholder List
- Distribution of Programme communication as per the programme’s Communication Plan
- Enforce the Quality Management Strategy throughout the programme
- Ensure adherence to the Change Strategy and process
- Communicate effectively at all levels
- Manage time effectively to also fulfill agreed upon internal (BSG) responsibilities
- Delivery of invoices to client
- Assist the Client Delivery Manager with tracking BSG team time capture and forecasts
Key Performance Areas:
- Delivery of effective support to the overall programme and constituent projects according to governance requirements, allocated budget and time constraints
- Management of final deliverables and products according to agreed quality criteria
- Delivery of consistent and accurate programme reports according to various requirements (frequency, format)
- Maintenance of the Programme’s logs
- Programme compliance to BSG’s programme governance methodology, processes and tools
